Create a shipment
Navigate to the Shipments tab in your Backoffice. Once here, click the + icon to add a new shipment.
This will bring you to the Add shipment view. Note that this view is only for creating the actual shipment. Adding packages/products will come later.
First choose the Origin warehouse, where the products will be sent from. Pick the warehouse from the dropdown list shown below.
Next choose the Destination warehouse, where the products will be received.
Before saving this shipment, note that you can enter additional information in these sections:
Carrier - The shipping company responsible for the delivery.
General Info - Reference and Barcode. The barcode can be scanned by staff to fetch this particular shipment within the Sitoo POS app.
Once all the information is added click Save in the bottom right.
Create packages and add products
After saving the shipment you will be presented with this view:
Click "Add Package" to add a new package you can populate with products. Once you are here, click "Add item" to start filling your package with products.
A search field will appear where you can enter the search terms for the product you wish to add to the package.
When a product has been selected it will be added to the package and the cursor will automatically position itself on the Quantity field, making it easy for you to input how many of this particular product you wish to include in the package.
Continue adding packages and products until you are satisfied. If you will be including a large amount of packages in your shipment you can also add a package barcode for each of the packages. This will then enable the receiver to scan a specific package once in the shipment view of Sitoo POS, provided of course that the packages have a barcode attached to them.
When you are done click Save in the bottom right corner.
This will bring you back to the Shipment overview. If there are no more packages to add, click the Change State button to start the process of sending this shipment.
Depending on how you wish to handle shipments you can give them the pending statuses;
Transport Ordered
Ready For Pickup
These statuses does not affect the actual shipment and is meant for administrative purposes.
In Transit is the status that will affect the shipment. Once that status is picked and the shipment saved, the items will be subtracted from the Origin warehouse and the Destination warehouse will be able to accept the shipment.
Receiving the Shipment
The most common way to receive a shipment would be in the Sitoo POS application. However, it is also possible to receive the shipment in Sitoo Backoffice.
Just as the "In transit" state affected the products within the shipment, so too will the status "Arrived". Click Change State and then choose "Arrived".
When you click Save here you will notice that you can now also accept the packages contained within the shipment.
Click "Set Package Arrived" and then fill in the quantities received in the "Rec. Qty" field. If you are certain that all quantities made it to their destination you can use the button "Fill quantities" to accept all the items. Then click "Receive items" which will be clickable once the quantities have been entered.
When you click "Receive items" you will be presented with a dialogue window where you can add a comment if you wish, as well as change the receiving warehouse. Once the items are received they will be added to the Destination warehouse stock count total for those items.
You can also add undeclared items to the shipment if some were sent to you that was not represented on the initial shipment.
In the "Undeclared items" section, click "Receive Undeclared Items". The window that appear allows you to add items not previously connected to the shipment. You add them in the same way you added products to the packages earlier in this guide.
When you have finished adding undeclared items, click "Receive Undeclared Items" in the bottom right.
If you have received all the packages and the items therein you can now go ahead and change the state of the shipment to "Closed". It will then disappear from the default shipment view.
Note that if you did not receive all the items contained in the shipment (if one or more items were lost along the way for example) you will not be able to set the status "Closed" and instead you will have to use the status called "Closed Incomplete". This in order to denote that the shipment was not received with the same quantities as when it was sent.
This is also true if you add undeclared items to a shipment.
It is also important to note that in the event that the Destination warehouse do not receive all the items sent, these items will not be returned to the Origin warehouse.
